The Role

We are seeking an Operations Specialist to support and oversee the day-to-day servicing and operational performance of our fund transfer agents (BBH, BNY and State Street). This role will focus on operational oversight, issue resolution, reporting, and control monitoring, working closely with internal stakeholders and external service providers to ensure accurate, timely, and compliant shareholder servicing.

 

The ideal candidate has strong attention to detail, excellent communication skills, and the ability to work cross‑functionally across Operations, Compliance, Marketing, and Sales.

We’ll trust you to:

  • Provide ongoing oversight of third-party transfer agent operations, including monitoring service levels, controls, and issue resolution
  • Review and analyze daily, monthly, and ad hoc operational reports related to shareholder activity, transactions, and servicing metrics
  • Investigate and resolve operational exceptions, discrepancies, and servicing inquiries in coordination with the transfer agent and internal teams
  • Support reconciliations, operational controls, and escalation of identified risks or trends
  • Participate in service provider reviews, audits, and due diligence activities
  • Assist with process improvements, documentation, and operational enhancements
  • Collaborate with Legal, Compliance, Accounting, Marketing, and other internal stakeholders
  • Support special projects related to fund launches, conversions, regulatory changes, and vendor initiatives
  • Provide elevated servicing and operational support to key financial professionals and partner relationships
  • Support Sales by responding to client and prospect servicing questions and escalating issues as needed
  • Review and approve client-facing statement messages, forms, and operational materials in partnership with Marketing

You'll need to have:

  • 2+ years of experience in mutual fund operations, transfer agency operations, securities operations, or related financial services roles
  • Bachelor’s degree in Finance, Accounting, Business, Economics, or a related field preferred
  • Working knowledge of mutual fund shareholder servicing, transaction processing, or transfer agency workflows strongly preferred
  • Experience interacting with third-party service providers (transfer agents, custodians, fund accountants, etc.) a plus
  • Proficiency in Microsoft Excel (pivot tables, formulas, data analysis)
  • Experience working with operational systems, reporting tools, or recordkeeping platforms
  • Strong analytical skills with a high level of attention to detail
  • Comfortable managing multiple priorities in a deadline-driven environment

Compensation Information: Annual base salary for this role is $75,000 - $90,000. Salary is estimated for this role. Actual pay may be different.

 

Discretionary Bonus: Role may be eligible to receive an annual discretionary bonus. Discretionary bonuses are determined by several factors including, but not limited to, firm, team, and individual performance.
