Job Overview:

 

The internal event specialist is responsible for representing and supporting the Global Event Management group in the planning, organizing, and managing of events, trainings, meetings and social activities at our corporate headquarters that build strong relationships with prospects, clients and employees and support the growth of the firm. Reporting to the Head of Global Event Management, the internal event specialist is accountable for gathering, communicating and executing on the details associated with a wide range of onsite meetings and events including being the main point of contact for internal stakeholders and liaising with all support teams (Workplace Experience, Catering, Facilities, and Tech) to ensure all events adhere to standard SOPs and are a reflection of the Brand.

We’ll trust you to:

  • Be proficient in the various aspects of 5-star hospitality and event management including food and beverage, client experience, vendor management, basic audio visual, and workflow systems
  • Build relationships with key stakeholders and internal colleagues and vendors (Workplace Experience, Catering, Event Production and Technology) to deliver an experience that exceeds expectations
  • Manage end-to-end logistics independently including gathering details, securing event space, creating timelines, obtaining presentations and materials, facilitating set-up, determining audio-visual needs, and ordering food and beverage
  • Assist stakeholders in adhering to pre-determined budgets by providing transparency around estimated spend
  • Process invoices for approval and payment and ensure costs are allocated to departmental budgets
  • Prepare event materials including, but not limited to, agendas, show flows, signage, supplies, nametags, registration lists, seating cards, gift bags, etc.
  • Provide on-site support for events from set-up to breakdown
  • Serve as a liaison between Lord Abbett and any external vendors coming onsite
  • Facilitate and manage the registration process for internal events to ensure accurate headcounts and determine appropriate space
  • Conduct post-event follow up (surveys, thank you notes, emails, etc.) and debriefs and provide feedback to internal stakeholders and vendors that will strengthen existing relationships and enhance the overall event experience
  • Collaborate with teammates on the creation and refinement of event playbooks
  • Support Global Event team members with high level meetings and stretch assignments as needed
  • Evaluate all events from a service perspective and from an experience perspective to ensure quality standards are being met and results are being achieved

You'll need to have:

  • 3 - 5 years of corporate event planning experience
  • A passion for white glove hospitality, building relationships and interacting with a diverse group of people from around the organization
  • The ability to work well under pressure, adapt to a dynamic environment all while maintaining high standards of professionalism and a “can-do” level of service
  • A growth mindset and willingness to learn and take on new challenges with a proactive approach
  • Excellent verbal and written communication skills
  • Enthusiasm for bringing new and creative ideas to the table
  • A proven ability to organize, manage, and plan several concurrent initiatives with varying priorities while paying crucial attention to detail
  • A willingness to work flexible hours (early mornings/late nights) as event needs necessitate

Compensation Information: Annual base salary for this role is $90,000-$110,000. Salary is estimated for this role. Actual pay may be different.

Discretionary Bonus: Role may be eligible to receive an annual discretionary bonus. Discretionary bonuses are determined by several factors including, but not limited to, firm, team, and individual performance.
