  • Overview

    Lord Abbett is seeking a full-time Executive Assistant to support its Human Capital Management (HCM) department. The HCM Executive Assistant will be responsible for providing full administrative support for the HCM Department. Successful candidates will need the ability to handle confidential matters with the highest level of professionalism and discretion, strong attention to detail and a friendly gregarious demeanor. Additionally, the ideal candidate will have exceptional communication skills, and will be resourceful in building relationships across the firm. 

    What you’ll do:

     

    • Build cross-functional relationships between departments
    • Manage hectic and complex calendars
    • Assist with administrative duties for onboarding of new employees, performance reviews, and separations 
    • Administrator for HR management system software
    • Work on special projects to support the department as necessary including research projects 
    • Answer telephone calls and providing accurate and detailed messages
    • Prepare expense reports 
    • Receive/process invoices 
    • Develop and carry out an efficient documentation and filing system 
    • Schedule meetings/appointments, prepares and assembles materials and agendas for meetings as needed, sets up conference calls, and coordinates team functions
    • Produce requested materials such as documents, spreadsheets, charts, graphs, presentation materials, and meeting agendas
    • Maintain firm org charts 
    • General office duties as needed

    You’ll need to have:

     

    • 3+ years of experience providing administrative support at the executive level, including calendar management and expense report management
    • Excellent people skills and ability to develop and maintain productive working relationships with internal and external partners
    • Advanced proficiency and strong working knowledge required in Microsoft Office Word, Excel, PowerPoint, Outlook
    • Experience prioritizing multiple projects
    • Strong work ethic, ability to work steadily and calmly under pressure
    • Have excellent written and verbal communication skills
    • Ability to prioritize work and provide a high level of customer service
    • Be collegial, hard-working, confident, a self-starter and have a passion for results
    • Must be self-motivated with demonstrated ability to take initiative, make decisions, manage workload efficiently in a fast-paced environment
    • Be detail-oriented, organized, efficient and resourceful with strong follow-through skills
